Conference Production

From stunning set design and build, to state-of-the-art audio-visual solutions, we deliver high quality, professionally executed events anywhere in the world.

In addition to providing highly qualified, smart and polite technical staff we also have an excellent roster of front-of-house staff, experienced in dealing with any logistical queries the delegates may have.

Pre-production is the key to any event, and on behalf of our clients we routinely fly to locations around the world to site check potential venues accordingly, we produce detailed site check reports containing solutions to any logistical challenges that may present themselves on-site.

Award Ceremonies

We are also specialists in the design and delivery of high profile award ceremonies, which can be produced as stand-alone events or as part of an evening programme following your conference.

We have a large stock of intelligent lighting, programmed to utilise great effects, producing imaginative and sophisticated shows. In addition, we use up-to-date music stings and voice-overs, which are produced in our own recording studio. We have an extensive library of musical stings. We can sequence these together, or we can take your own source material and piece it together to create a seamless bespoke event.

We use a 3 dimensional computer graphics system for award slide generation and this brings to our awards production a high level of visual sophistication; all we require from our clients is a script - we produce the rest!

Filming and video editing

As part of our conference production and award ceremony service our expert cameramen can record your event on the day, or can pre-record clips from speakers or awards recipients who perhaps are unable to attend the event. We also have our own video-editing suite, which can be used to post-edit material as well as pre-produce bumper clips for conference or awards use.

CD-ROM

Traditionally, audio tapes are produced at the end of your conference. We have now developed a revolutionary system of encoding up to 6 hours of video and PowerPoint presentations onto CD-ROM, using a smart, simple, user-friendly control interface. Self-opening, with a fully branded label, the CD-ROM could contain video of all your speaker presentations mixed with the PowerPoint presentations, including speaker photographs, biographies, and company logos where appropriate, web-site hotlinks and marketing documents in PDF format.

The CD-ROM becomes a powerful marketing device in promoting any conference or event, tailored to your specific brief.

Web Streaming

Post-event, web-streamed video placed onto the Internet ensures the longevity of each conference, allowing prospective delegates and sponsors the opportunity to actually view the finished product and create interest for subsequent projects. An incredibly powerful marketing tool for any company, we can incorporate video onto your existing site or create a satellite site to host your video exclusively.

The data and information required are understandably immense; using the latest technologies - Windows Media, RealVideo and QuickTime we are able to stream the video from the Internet. Our servers are just 'one hop' from major Internet connections such as UUNet, Sprint and Cable & Wireless, ensuring your video is extremely fast, easily accessed and reliable.

Health and Safety

Health and Safety is becoming more and more of key issue in event planning as more and more venues require risk assessments and method statements prior to allowing clients on-site. Promuseast hold a coveted IOSH (Institution of Occupational Safety and Health) certificate, this allows us to write and submit risk assessments and methods statements for the events we produce.

On-site Health and Safety is also a key issue of any production, whether the event is a conference, awards ceremony or exhibition, Promuseast have three qualified Health and Safety officers who are IOSH trained and are fully conversant with the latest regulations. They can liase with fire officers on site to produce a safe and stress-free show.

Transportation and Logistics

Promuseast produce events all over the world and wherever feasible we truck our own equipment and sets to the venues, which also allows us to offer unparalleled levels of service to our clients. Many times we arrive on-site and set up for a show, only to find that our clients' support material, badges, sponsor branding, etc has not been delivered by the local shipping agent, we avoid this by shipping our clients' material direct on our own trucks as part of our service.

Signage and Computer Graphics

We produce virtually all of our conference and awards signage in-house (with the exception of very large format graphics which we send out to a fantastic local graphics company!) Internally we produce full colour, gloss, bus stop signs, header panels, medium sized banners, both internal and external as well as a plethora of other signage to meet our clients' requirements.

We also have our own computer graphics department for all of our clients PowerPoint needs, whether it be a full presentation, formatting speaker presentations, providing title slides or flash-animated introductions.

Audio Visual Equipment

We run an unusual model for a conference production company in that we do not dry hire our audio-visual equipment but keep it, maintain it and use it solely for our clients' events. This ensures that the equipment is always in immaculate condition, perfectly prepared and serviced by our own technicians. The main benefit is that we very rarely encounter technical issues on-site. This is also because we use a hot back-up system. For example, if we have a LCD projector bulb blow, the audience and speakers are generally oblivious to the fact, as the hot back-up kicks in with immediate effect. Once again, we strive to exceed our client's expectations.

Hard copy printing

Last year we established a high volume, in-house print facility in response to our clients' needs for fast, cost-effective print solutions for delegate packs, speaker presentations and programme printing. This has been extremely successful. Clients e-mail us documents, which we can turn around quickly and then load the material directly onto the back of the truck, ensuring documents do not go missing in transit. This also allows our clients to have later lead times as the need to courier material from the printers to our warehouse is negated. We now have the facility to print up to 20,000 documents an hour and our rates are £0.25 per side for colour and £0.05 for black and white - around 50% of the cost of printing on the high street.

Audience Response Systems

We have an in-house audience voting system, which always proves very popular; it's a great tool to add value to any conference or event and is a wonderfully interactive way of engaging the audience. The graphics are state-of-the-art and the operation is simple. The data captured can be valuable - but above all it is fun. The system is scaleable and can go from 10 to 300 handsets. Also, it is very cost-effective as we do not require external staff to operate the system, all staff being fully conversant in its use.
